As of 2026

A motorhome is a valuable asset. Managing your fleet in a structured way prevents breakdowns in peak season, documents damage properly and tells you at any moment which vehicle is available when.

For the full picture, read the motorhome rental software guide.

The four pillars of fleet management

Vehicle records

All master data, documents and photos in one place: registration papers, insurance, gas certificate, manuals. New staff find everything without asking.

Maintenance and inspections

Roadworthiness inspections, gas checks, oil changes, tyre changes and habitation damp checks follow fixed intervals. Reminders with enough lead time keep vehicles out of the workshop in July.

Availability

Bookings, workshop time and private use belong in the same calendar. Only then is the availability you show reliable.

Handover, return and contract

A digital report with mileage, fuel level and photos is the basis for any deposit settlement. The contract is generated straight from the booking.

Features in our software

Our software includes a fleet calendar with daily prices and infinite scrolling, maintenance reminders for inspections and oil changes, digital handover and return reports and a contract template filled from the booking data.

Team permissions per depot control who may create reports and who may change prices. Vehicle tracking and documents in the dispatch board, plus workshop orders and spare parts in inventory, are included as well.

Frequently asked questions

Which vehicle data should I record digitally?

Registration, VIN, first registration date, berths, gross vehicle weight, licence category, equipment, insurance details and the dates of inspections and gas safety checks.

How long should I keep handover reports?

At least until all claims from the rental are settled. Many operators keep them for the statutory limitation period in their country; check with your adviser.

Does a digital contract replace a paper signature?

In most European countries no written form is required for vehicle rental agreements. A digital acceptance or signature is usually enough as long as you can prove the content.
